Managing Offer Letters for New/Returning Hires

Managing offer letters are a crucial part of the hiring cycle. It lays the contractual foundation for a good working relationship because it sets the terms for compensation and boundaries. My role here involved managing email threads, Adobe Sign, and the company's proprietary database to fulfill that function.

Context

Part of my duties as an HR Analyst included communicating to new hires and re-hires through official hire packets. This was a crucial part of the HR analytics process because it ensured that employees properly understood the terms of their working contracts, as well as ensured that our analytics team properly collected employees' information through documents like work permits and visas.

My Role

The primary workflow consisted of the following steps:

  • Extract relevant hiring details (e.g. salary, start date, title, visa sponsorships) from the applicant's email thread with their recruiter
  • Fill in their official hire packet with the details using a template on Adobe Sign, and send over the contract
  • Upon the employee's signing, fill in the employee's details on their Shotgun Management Database page
  • Receive and organize personal documents on the team's drive
